Opportunities, and customers can message you from their portal

Track the work you are chasing and what it is worth, and talk to customers in their portal.

Leads now has an Opportunities tab: the work a customer might give you, by stage, with each column’s total and its value weighted by how likely it is to go ahead. A quote written from an opportunity is linked to it, and when the customer accepts the quote the opportunity is marked won. Customers can now message you from their portal and send photos or PDFs with a message; you reply from their page, and the reply is shown in the portal and emailed to them. Photos over 1 MB also upload properly again everywhere in the app.

Automations move jobs, invoice, call webhooks and show their work

Five new automation steps, and a dry run of any workflow against your last 30 days.

Automations can now move a job to another status, raise a job from an accepted quote, draft an invoice from a job or quote, send an issued invoice to the customer, and call a webhook of yours, signed. Each workflow also has What it would have done: your last 30 days of real activity put through it, showing every message with its details filled in and any that would have been blank, with nothing sent. The builder now offers only what automations can carry out, and lists the rest as coming later. Invoices and quotes can also be downloaded as PDFs, and a signed copy is kept when a customer answers a quote.

Quotes become jobs, jobs get invoiced, and team roles can change

Create a job from an accepted quote, invoice a job that had no quote, and change or remove team members.

An accepted quote now has Create job, which makes a job for the same customer with a task for each line of work they agreed to. A job with no quote can be invoiced from the job: a draft opens and you add the lines you are billing. In Settings → Team you can change a member's role or remove someone who has left; their access ends straight away. And a workspace whose subscription has ended, or is on billing hold, can still sign in, read and export everything, but new jobs, invoices and bookings wait until billing is sorted.

Automations now run from what happens

Switched-on workflows start within a minute of a quote, invoice, payment, job or booking.

Automations used to be built and switched on without starting by themselves. Now each quote sent, viewed, accepted or expired, invoice issued or overdue, payment, and job or booking created, moved or finished is recorded, and any switched-on workflow that listens for it starts within a minute. Steps that email the customer, tell your team, add a note or add a task to a job are carried out; a step that cannot be is marked failed in the run history and you are told. The same events now reach your webhooks.

Leads, service agreements and message history

Follow up enquiries, run recurring maintenance, and keep every email and call on the customer.

Leads collects enquiries, including requests from the customer portal, until they become customers. A service agreement raises each recurring visit as a job before it is due. Messages keeps every email the app sends a customer on their record, and lets you email them in your own words or record a call.

A price list, stock and purchase orders

Pick lines from your price list, track stock in the store and the vans, and order from suppliers.

Settings → Price list holds what you charge for, and quote and invoice lines can be picked from it. Turn on Inventory to track stock per location, record parts used on a job and see the stock value; turn on Purchasing to raise orders and receive them, in parts if they arrive in parts. The stock value report now has stock to show.

Inspections and checklists, with findings you can quote

Build your own forms, fill them in on a job, and quote what they found in one click.

Turn on Forms in Settings → Modules. Build an inspection or checklist with pass/fail items, readings with a minimum or maximum, and questions that appear only when needed; publish it; fill it in from the job. Quote the findings raises a draft quote with one line per finding and the reading beside it.

Fix

Fixes: narrow screens and rounding

Pages no longer scroll sideways on small phones, and amounts are never rounded.

The top bar now fits a 320-pixel screen. Amounts typed into payments, credit notes and quote prices are read exactly, instead of being converted in a way that could round them.

An integrations directory, and more of the API

See what connects to what, and read jobs, quotes, invoices and payments by API.

Settings → Integrations lists every kind of integration and says plainly which are available and which are not yet. The API can now read jobs, quotes, invoices and payments, and webhook endpoints can be edited in place.

Settings → Data downloads your money records too, and always works.

Jobs, quotes, invoices, credit notes, payments and allocations can now be downloaded from Settings → Data, and exporting works whatever the state of your subscription.

Enter your tax details once

Your legal name, business number and tax registration now fill in every invoice.

Settings → Tax codes has a new Your tax registration section. Finalising an invoice fills in your business details from it.

Choose when to upgrade your industry setup

See exactly what an upgrade changes before you apply it, and export your setup.

Settings → Industry pack shows your version and, when a newer one is out, what upgrading would change and what it would leave alone because you changed it. Pest control and device repair setups are also new.

Daily sales by payment method, and stock value on any date

Two new reports, and a report list organised by what they are about.

Daily sales and cash shows each day's takings with a column for each way you take money, set in Settings → Payments. Stock value shows what your stock was worth at the end of any day, including in the past, once stock is recorded (Inventory, which shipped later on 26 September).

Quotes and invoices in other currencies

Open a quote in AUD, NZD, GBP, USD, CAD or EUR; its invoice and payments follow.

A quote can now be opened in a currency other than your own, and everything made from it stays in that currency. Amounts are read in the currency's own decimal places, and lines show the currency, so "USD 12.50" is never mistaken for dollars of another kind.
