Job management vs project management: which tool fits service work
Project management software plans a few long pieces of work. Job management software runs many short ones. How to tell which your business does, and why the wrong tool creates admin.

Project management software is built for a small number of long pieces of work, each broken into tasks with dependencies and deadlines. Job management software is built for a large number of short pieces of work, each one a visit to a customer that has to be quoted, scheduled, done and invoiced. A builder running three renovations over six months has projects. A plumber doing six call-outs a day has jobs.

Why using the wrong one creates admin
Project tools treat each job as a project with its own board, tasks and timeline. That is fine for three renovations and exhausting for three hundred call-outs: every job needs setting up by hand, there is no schedule across people, and invoicing happens somewhere else. Job tools go the other way: they are quick for many small jobs but thin on dependencies, so a six-month build can outgrow them.
How to tell which you need
- If most work is quoted and finished within a week, you need job management.
- If most work has stages that depend on each other and run for months, you need project management.
- If you do both, pick the tool for the work that makes most of your revenue, and check it can handle the other well enough. Many trade businesses do mostly jobs with the occasional larger project run as a series of linked jobs.
