What starts a workflow

Things that happen: a booking is made, moved, cancelled or finished; a job is created, moves stage or is finished; a quote is sent, opened, accepted, declined or expires; an invoice is issued, paid or goes overdue; a payment arrives or fails; a form is submitted; a customer sends a message. Or a date: a service coming due, a customer quiet for a while, a schedule you set.

What it can do

  • Email the customer, or post to their portal.
  • Notify someone on your team.
  • Move a job to another stage, assign it, tag it, add a note or a task.
  • Create a job or an invoice, and send an invoice.
  • Call a webhook in another system.

Steps can wait (a delay, or until a time, business hours only if you like) and check a condition first, so a reminder is not sent to someone who has already paid.

Built not to run away

Every workflow runs through the same limits: messages are held back in the customer’s quiet hours, the same customer is not emailed over and over, workflows cannot trigger each other in a loop, and one switch pauses every automation at once. Each run is recorded, so you can see what happened and why.

What it does not do yet

Text and WhatsApp messages are not sent. A step that would send one is shown as failed, not silently skipped.

Common questions

Do I have to build workflows from scratch?
No. Start from a ready-made one, change the wording or timing, and switch it on.
Can I stop everything at once?
Yes. Settings → Automation has one switch that pauses every workflow until you turn it back on.
Will it email customers at night?
No. Messages wait until the customer’s quiet hours are over.
