Cleaning schedule template: what to clean daily, weekly, monthly and yearly

A cleaning schedule template by frequency, and how a cleaning business turns it into a rota so regular visits cover everything without running over time.

A cleaning schedule sets how often each task is done: some every day, some weekly, some monthly and some once or twice a year. For a household it is a routine. For a cleaning business it is the plan that decides what happens at each regular visit, so the visit fits its time and nothing is forgotten for months.

Cleaning schedule by frequency

Frequency

Tasks

Daily (usually the household)

Dishes, wipe kitchen benches, quick bathroom wipe, sort clutter, empty full bins

Weekly

Bathrooms and toilets in full, kitchen surfaces and sink, vacuum and mop floors, dust surfaces, change bed linen

Fortnightly

Inside the microwave, mirrors and glass, high-touch points in detail, vacuum upholstery

Monthly

Skirting boards, light switches and doors, range hood filter, window sills and tracks, descale taps and shower heads

Quarterly

Inside windows, blinds, ceiling fans, inside the fridge, behind movable furniture

Yearly or twice-yearly

Carpet steam clean, outside windows, walls, inside cupboards, curtains, mattress

Turning the schedule into a rota for regular visits

A cleaning business visiting fortnightly cannot do the monthly and quarterly tasks at every visit without running long, and should not leave them undone. The answer is a rota: split the less frequent tasks into groups and do one group each visit.

Visit

Every-visit tasks

Plus rotating group

Visit 1

Standard clean

Skirting boards, light switches, doors

Visit 2

Standard clean

Window sills and tracks, range hood filter, descaling

Visit 3

Standard clean

Blinds, ceiling fans, inside the microwave

Visit 4

Standard clean

Behind movable furniture, cobwebs, vents

Over two months every group is done once, and each visit stays close to the same length, which keeps the price per visit fair. The every-visit tasks are listed room by room in the house cleaning checklist.

The free cleaning schedule maker prints a dated rota for a customer, starting from their first visit.

Commercial cleaning schedules

Offices and shared premises work the same way on a bigger scale: daily tasks in the scope (bins, kitchens, toilets, high-touch points), weekly tasks such as vacuuming all carpeted areas, and periodic tasks such as carpet cleaning and high dusting on a quarterly plan. Write the schedule into the contract so both sides can check it.

Making the schedule stick

  • Write it down per customer; homes differ.
  • Record which rotating group was done at each visit, so the next cleaner continues the rota rather than restarting it.
  • Show it to the customer; it is the clearest explanation of what they are paying for.
  • Review it when the visit starts taking longer than priced.

Scheduling regular visits in Primemgr

In Primemgr, a regular clean is a service agreement: weekly, fortnightly, monthly or any multiple of those, with the price and what is done. Each visit is raised as a job ahead of time, the checklist is filled in on site, and the notes carry forward, so the rota continues from visit to visit. The written terms of an agreement are covered in the service agreement template.
