A day in this trade
A car is booked in, checked into the workshop, and often stops twice: waiting on parts, and waiting on the owner to authorise the work. Then it is ready for collection, and collected. Every one of those is a stage you can see at a glance, for every car on the premises.
Set up the way a workshop talks
Jobs are called Repair orders, the things you work on are Vehicles, and stock is Parts. You start with customers, the schedule, repair orders, quotes, invoices, payments and vehicle records already switched on.
Vehicles, not just “assets”
Each vehicle carries its registration, VIN, make, model, year, fuel and transmission. Each repair order records the odometer in and out, and what the customer reported in their own words.
Stages that match the workshop floor
Booked in, In the workshop, Waiting on parts, Waiting on authority, Ready for collection, Collected. “Waiting on authority” is its own stage so a car never gets worked on before the owner has said yes.
Quotes, invoices and getting paid
Quotes are priced line by line with the right tax code on each, and optional lines the customer can choose. The customer gets an email with a link, and can accept online. An accepted quote becomes an invoice in one click, with only the lines the customer agreed to, so nothing is retyped.
Every setting is still yours
The setup is a starting point, not a cage. Rename anything, add your own fields, change the stages, turn modules on or off. When the industry setup improves, your own changes are left alone.
Common questions
- What does it record about each vehicle?
- Each vehicle has its Registration, VIN, Make, Model, Year, Fuel and Transmission, and each job records the Odometer in and Odometer out and What the customer reported. That history stays with the vehicle for the next visit.
- How do I see which cars are waiting on the owner’s go-ahead?
- Waiting on authority is its own stage, alongside Waiting on parts and before Ready for collection, so every car waiting on a yes from its owner is visible at a glance.
- Does it plan routes for pickups or mobile jobs?
- Not yet. The schedule shows who is booked where and when, but it does not work out the most efficient order to visit jobs in, or travel times between them. Plan the run yourself for now.
