In short
Primemgr is job management software for HVAC and refrigeration businesses in the United States, Canada, the United Kingdom, Ireland, Australia and New Zealand: quotes customers accept online, scheduling and online booking, jobs, invoicing and a customer portal, set up with the fields and stages your trade uses. It costs one price per team, from £35 a month for one person to £115 for a team of 15, with the modules for each trade on every plan, extra modules on bigger plans, and no per-user fees.
A day in this trade
HVAC work is half installs and repairs, half recurring maintenance. Units are tracked for their whole life, and service agreements bring them back on schedule.
Every unit, on record
The equipment you service is called Units. Each one records its system type, refrigerant, filter size and installation date. Your people are Technicians.
What happened on each visit
Jobs record the refrigerant added and any fault code, so the history of a unit is there the next time anyone opens it.
Maintenance that comes back on its own
Each unit is recorded against its customer, so the system’s details and service history stay with it. Maintenance plans run as service agreements, raising each service visit as a job a set number of days before it is due.
Quotes, invoices and getting paid
Quotes are priced line by line with the right tax code on each, and optional lines the customer can choose. The customer gets an email with a link, and can accept online. An accepted quote becomes an invoice in one click, with only the lines the customer agreed to, so nothing is retyped.
Every setting is still yours
The setup is a starting point, not a cage. Rename anything, add your own fields, change the stages, turn modules on or off. When the industry setup improves, your own changes are left alone.
Common questions
- What does it record about each unit?
- Each unit records its system type, refrigerant, filter size and installation date, and every job on it can log the refrigerant added and any fault code. That builds a history for the unit, so the next technician can see what was done and when.
- Does it rebook a customer’s maintenance visits automatically?
- Yes, as a service agreement: set how often the unit is serviced, and each visit is raised as a job a set number of days before it is due, ready to put on the schedule. The unit’s history stays with it however the visit was booked.
- Does it plan routes between jobs?
- Not yet. The schedule shows who is booked where and when, but it does not work out the most efficient order to visit jobs in, or travel times between them. Plan the run yourself for now.
