Service business management software keeps the whole life of a job in one system: the customer, the quote, the booking, the work done, the invoice and the next visit. It replaces the combination most service businesses start with: a phone, a calendar, a spreadsheet, an invoicing app and a lot of retyping. For businesses that send people to customers’ sites the same category is often called field service management software.

The difference between a quote and an estimate, and between a work order and a job, shapes how a system should be set up, so it is worth being clear on both before you start a trial.
Questions to ask before you buy
- Does it fit your trade? A cleaning business needs recurring visits and checklists; an HVAC business needs equipment history and service reminders. Ask to see your trade set up, not a generic demo. For cleaning, see cleaning business software.
- How is it priced as you grow? Per-user pricing and per-team pricing work out very differently for the same business. Price it at today’s headcount and at double.
- What is included and what is extra? Modules, text messages, storage and integrations are common add-ons.
- Can the team use it on a phone? The people on site are the ones who make or break the data.
- Can you get your data out? An export of customers, jobs and invoices you can open in a spreadsheet, without asking support.
- Where is your data kept, and who can see it? Ask how customer data is separated from other businesses’ and who at the vendor can access it.
- How do customer payments work? Some systems process card payments for you; others record payments you take yourself. Know which before you promise customers a way to pay.
How to trial it properly
A demo shows the software at its best. A trial on real work shows how it fits your week. Enter a handful of real customers, quote a real job, schedule it, have the person doing it fill it in on a phone, and invoice it.
